ABC's of PowerPoint 2007

12. Reduce Your File Size (PowerPoint XP)
PPT 2007  |  PPT 2003

Are your PowerPoint files too large to email? Do you have images within your presentation? This may be the culprit.

Very often images within a presentation are much larger than required. PowerPoint however has a solution for this. After inserting an image into your presentation, click your image. The "Format" tab will appear on the ribbon. Click on the "Format" tab and then click on the "Compress" button on the far left side.

Format Picture Window

The "Compress Pictures" window will appear. Deselect "Apply to selected pictures only." Click the "Options" button to open the "Compression Settings" window. Select your resolution depending on your needs (typically Screen). Checkmark both "Automatically perform basic compression on save" and "Delete cropped areas of pictures". Click the "OK" button.

Lastly, to reduce your file size a bit more, save your presentation with a new name using the "File - Save as" command.

File reductions will vary, however it isn't uncommon to reduce a file with images inserted to 1/3 of its original size.
